Who is responsible for your information

FHS Solutions is the trading name of Sumaya Mia Akthar, a sole trader. Sumaya Mia Akthar is responsible for the personal information handled by FHS Solutions.

Information we may collect

When you contact us by email, telephone or WhatsApp, we may receive:

• your name and organisation;
• your email address and telephone number;
• your service address or postcode;
• details of the services, training or support you require; and
• correspondence, appointment and quotation information.

Our hosting and security providers may also process limited technical information, such as IP addresses, browser information and security logs, to operate and protect the website.

If you consent to optional analytics, Google Analytics and Microsoft Clarity may process online identifiers, approximate location, device and browser information, pages viewed, referral details, interactions and privacy-masked session information.

How and why we use it

We use personal information to:

• respond to enquiries and recommend an appropriate service;
• prepare quotations and arrange appointments, training or contracted support;
• deliver and administer requested services;
• maintain business, safety, accounting and legal records; and
• protect our website, customers and business from misuse or fraud; and
• where you consent, measure website use and improve navigation and usability.

We normally rely on steps requested before entering a contract, performance of a contract, legitimate interests in operating and protecting the business, and legal obligations. We use consent where the law requires it, including for optional website analytics and electronic marketing.

Website analytics

Google Analytics provides aggregated website traffic reports. Microsoft Clarity provides aggregated usage insights, heatmaps and privacy-masked session recordings. These services load only after you select Accept analytics. Advertising storage and personalisation are disabled in our Google configuration, and the enquiry form is explicitly masked from Clarity recording.

Who we may share it with

We may share only the information needed with service contractors, course or assessment providers, equipment suppliers, IT and hosting providers, email and communications providers, professional advisers, insurers, or public authorities where necessary. We do not sell personal information.

If you choose WhatsApp or another external service, that provider processes information under its own privacy terms. Google and Microsoft may process analytics information outside the UK. Where international transfers occur, the providers are responsible for using applicable transfer safeguards and contractual protections.

How long we keep it

We keep enquiry information only for as long as it is reasonably needed to respond, follow up and manage the requested service. Information connected with customers, contracts, safety work, payments or disputes may be retained for longer where required for business, insurance, tax or legal purposes. Analytics information is retained according to the settings and retention periods in the relevant Google Analytics and Microsoft Clarity accounts. We review information and remove it when it is no longer needed.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability, or object to how it is used. You may also withdraw consent where consent is the basis for processing. Contact us using the details above.
